Terms of Use
Overview
These Terms of Use ("Terms") govern your access to and use of the Trusted Identity Platform ("TIP", "the Platform", "we", "our" or "us").
By creating an account, accepting an invitation or using TIP, you agree to these Terms.
If you do not agree, you must not use the Platform.
1. About TIP
TIP is a cloud-based visitor management and identity platform designed to help organisations manage visitors, residents, contractors and authorised access to protected locations.
TIP provides tools including:
- Visitor registration
- Invitations
- Identity verification
- QR access passes
- Check in and check out
- Host notifications
- Vehicle management
- Audit records
- Security and compliance features
2. Eligibility
You must:
- be legally capable of entering into a binding agreement;
- provide accurate information;
- keep your account information up to date;
- use the Platform only for lawful purposes.
If you use TIP on behalf of an organisation, you confirm that you are authorised to do so.
3. Accounts
You are responsible for:
- maintaining the security of your account;
- protecting your password or authentication credentials;
- ensuring your contact details remain accurate;
- notifying us immediately if you suspect unauthorised access.
You must not:
- share accounts;
- impersonate another person;
- create fraudulent accounts;
- attempt to bypass security controls.
4. Identity Verification
Some organisations require visitors to verify their identity before entry.
Where enabled, TIP may verify identity using approved third-party verification providers.
Verification does not guarantee a person's identity beyond the information available at the time of verification.
Organisations remain responsible for deciding whether to grant access.
5. Invitations
Invitations:
- are intended only for the named recipient;
- may expire;
- may be withdrawn at any time;
- do not guarantee access.
Entry remains subject to the policies of the organisation controlling the premises.
6. QR Passes
QR passes are issued solely for authorised visits.
You must not:
- copy;
- sell;
- transfer;
- modify;
- misuse; or
- share
- a QR pass.
Organisations may refuse entry where misuse is suspected.
7. Visitor Responsibilities
Visitors agree to:
- provide truthful information;
- present valid identification where required;
- follow venue security procedures;
- comply with applicable laws;
- respect venue rules.
Providing false information may result in suspension or permanent removal from the Platform.
8. Organisation Responsibilities
Organisations using TIP agree to:
- process personal information lawfully;
- invite visitors only for legitimate purposes;
- maintain appropriate access controls;
- manage user permissions responsibly;
- comply with applicable privacy legislation.
Organisations remain responsible for decisions regarding admission to their premises.
9. Acceptable Use
You must not use TIP to:
- break the law;
- harass or intimidate others;
- upload malicious software;
- attempt unauthorised access;
- interfere with platform operation;
- scrape or harvest data;
- reverse engineer the Platform except where permitted by law;
- upload fraudulent identity documents;
- distribute spam;
- abuse trial accounts.
10. Security
We work to maintain a secure platform using industry-standard technical and organisational safeguards.
You acknowledge that:
- no online service is completely free from risk;
- internet communications cannot be guaranteed to be completely secure.
Users are responsible for protecting their own devices and credentials.
11. Privacy
Our collection and use of personal information is governed by our Privacy Policy.
By using TIP you acknowledge that your personal information may be processed as described in that policy.
12. Intellectual Property
TIP, including its software, trademarks, branding, documentation, graphics and content, is owned by Trusted Identity Platform or its licensors.
These Terms do not transfer ownership of any intellectual property.
You may not copy, modify or redistribute any part of the Platform except as permitted by law or with our written permission.
13. Availability
We aim to provide a reliable service but do not guarantee uninterrupted availability.
We may:
- perform maintenance;
- improve the Platform;
- introduce new features;
- discontinue obsolete functionality;
- suspend access where necessary for security or legal reasons.
14. Third Party Services
TIP integrates with selected third-party service providers including identity verification, messaging and cloud infrastructure providers.
We are not responsible for interruptions caused by third-party services beyond our reasonable control.
Facebook Login
If you choose to sign in using Facebook Login, we receive only the information that you authorise Meta to share with us, such as your name, email address and profile picture. We use this information solely to authenticate your account and provide our services. We do not publish your Facebook information or access additional data without your permission.
Google Sign-In
If you choose to sign in using Google, we receive only the information that you authorise Google to share with us, such as your name, email address and profile picture. We use this information solely to authenticate your account and provide our services. We do not publish your Google information or access additional data without your permission.

15. Fees
Certain services require a paid subscription.
Subscription terms, pricing and renewal arrangements will be agreed with the customer organisation.
Failure to pay applicable fees may result in suspension or limitation of services.
16. Suspension
We may suspend or restrict access where:
- these Terms are breached;
- fraud is suspected;
- unlawful activity is suspected;
- security is at risk;
- required by law.
Where reasonably possible, we will notify affected customers before suspension.
17. Termination
You may stop using TIP at any time.
We may terminate accounts where:
- these Terms are materially breached;
- fraudulent activity occurs;
- continued access would create legal or security risks.
Termination does not affect obligations that by their nature survive termination, including confidentiality, intellectual property and liability provisions.
18. Limitation of Liability
To the fullest extent permitted by law:
- TIP is provided on an "as available" basis;
- we are not responsible for indirect or consequential losses;
- we are not responsible for decisions made by organisations regarding access to premises;
- organisations remain responsible for their own security procedures.
Nothing in these Terms limits liability where such limitation is prohibited by law.
19. Indemnity
Where permitted by law, you agree to indemnify TIP against losses arising from your unlawful or unauthorised use of the Platform.
20. Changes to These Terms
We may update these Terms from time to time.
Where changes materially affect users, we will provide reasonable notice.
Continued use of TIP after changes take effect constitutes acceptance of the updated Terms.
21. Governing Law
These Terms are governed by the laws of the Republic of Kenya.
Any disputes shall be subject to the jurisdiction of the Kenyan courts unless otherwise agreed in writing.

23. Electronic Communications
By creating an account or using TIP, you consent to receive electronic communications from us, including account notifications, security alerts, service announcements, policy updates and other information relating to your use of the Platform.
Where required by law, you may opt out of non-essential communications. Security and service notifications that are necessary for the operation of your account may continue to be sent.
24. Electronic Acceptance
By selecting "I Agree", "Accept" or a similar option, or by continuing to use the Platform after accepting these Terms, you agree that your electronic acceptance has the same legal effect as a handwritten signature.
TIP records the version of these Terms accepted, together with the date and time of acceptance, for audit and compliance purposes.
25. Beta and Preview Features
From time to time, TIP may make beta, preview or early access features available.
These features are provided for evaluation purposes and may be incomplete, modified or withdrawn without notice.
Beta features may not meet the same availability or support standards as production features. Users should not rely on beta features for critical business operations.
We welcome feedback to help improve these features.
26. API and Integration Services
Where organisations integrate with TIP through our APIs or authorised third-party integrations, they agree to:
- use the APIs only for authorised purposes;
- protect API credentials and access tokens;
- comply with published rate limits and integration requirements;
- avoid activities that may compromise the security or availability of the Platform.
TIP may suspend or revoke API access where misuse or security concerns are identified.
27. Partner Programme
Approved channel partners, resellers and affiliates are subject to separate Partner Programme Terms in addition to these Terms of Use.
Participation in the Partner Programme does not grant ownership of TIP intellectual property, customer data or commercial rights beyond those expressly agreed in writing.
TIP reserves the right to suspend or terminate partner participation where fraud, misrepresentation or breach of the Partner Agreement is identified.
28. Automated Decision Support
TIP may use automated processes to assist organisations with identity verification, duplicate detection, fraud prevention, watchlist matching and other security-related functions.
These automated processes are intended to support authorised users and do not replace human judgement.
Each organisation remains responsible for decisions relating to visitor admission, access permissions and security actions.
29. Requests from Law Enforcement and Government Authorities
TIP will only disclose personal information to law enforcement agencies, regulatory authorities or other public bodies where required or permitted by applicable law.
Where legally permitted, we may notify the affected customer or individual before disclosing information.
All disclosures are recorded as part of our security and compliance processes.
30. Access to Your Personal Information
You have the right, subject to applicable law, to request access to the personal information that TIP holds about you.

To help protect your privacy, we may ask you to verify your identity before processing your request.
We will respond within the time required by applicable law.
31. Requesting Deletion of Your Personal Information
You may request deletion of your personal information using our Data Deletion Instructions or by emailing [email protected].
We will assess each request in accordance with applicable law and our legal, contractual and regulatory obligations.
In some circumstances, we may be required to retain certain information, including where necessary to:
- comply with legal obligations;
- maintain security records;
- investigate fraud or misuse;
- protect the rights of TIP, our customers or other users;
- resolve disputes or enforce agreements.
Where information cannot be deleted immediately, we will explain the reason where permitted by law.
